Terms of Service
These terms apply when you use RecordsFlow ("we", "us"), including the private link your attorney's office sends you, and when a law firm uses RecordsFlow to receive records. By continuing, you agree to them. Please also read our Privacy Policy.
What RecordsFlow does
RecordsFlow is software that lets a patient connect their own patient portals and insurers, approve the sharing of their records, and deliver those records, organized into a timeline, to the attorney they name. We are not a healthcare provider, a law firm, or a health plan, and we do not give medical or legal advice.
For patients
- You are in control. We retrieve records only after you verify your identity and sign the authorization, and only from sources you connect and approve.
- Be accurate. You agree to give correct information and to use RecordsFlow only for your own records, or as the legal representative of the patient with the required documents.
- Revoke at any time. You may revoke your authorization whenever you like by contacting us or your attorney's office. Revocation stops further retrieval right away, and you may ask us to delete the records stored for your case, as described in the Privacy Policy.
For law firms
- You confirm that you have a signed engagement with the patient before opening a case, and that you will use the records only for the representation.
- You will protect the records you receive and follow the laws and ethics rules that apply to your practice.
- You will not ask us to retrieve records without a current authorization, or for a purpose the patient did not approve.
- Fees and any additional terms are set out in a separate written agreement with us.
What you should know about the records
- RecordsFlow retrieves records that your providers and insurers make available electronically. This may not include full charts, scanned outside records, images, or itemized bills.
- Every delivery lists the sources that were connected and the sources that were not. Records that were not retrieved may still exist.
- Records reflect what the source provided. We organize them but do not change their content, and we do not check them for medical accuracy.
Acceptable use
Do not use RecordsFlow to access anyone's records without their authorization, to attempt to break or probe our systems, or to break the law. We may suspend access that violates these terms.
Availability and liability
RecordsFlow depends on third-party patient portals, insurers and networks that we do not control, and they may be unavailable or incomplete. The service is provided "as is." To the extent the law allows, we are not liable for indirect or consequential losses, and our total liability for any claim is limited to the fees paid to us for the matter in question. Nothing here limits rights that cannot be limited by law.
Governing law
These terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules.
